From cancellation to filled slot: what a waitlist needs

A two-hour colour appointment opens on Thursday at 3:30. The first client on the list only wants a Saturday haircut. Being first does not make Thursday a match.

Keep the client's conditions

Ask for more than a phone number: service, suitable time windows, professional preference and flexibility. Keep only what is needed to make a relevant offer.

When someone cancels, compare the released duration and professional with those wishes. A 30-minute opening should never be offered for a 75-minute service.

An offer is not a booking

Send a specific proposal with day, time and service. Let the client confirm and recheck the calendar before finalising. Another appointment may have appeared in the meantime.

Define what happens if nobody responds. After a clear period, the offer can go to the next suitable person. Several clients should not all believe the same chair has already been reserved for them.

Measure completed bookings

Count more than names on the list. Track how many cancellations received a matching offer and how many became confirmed appointments. A short, current list may be more useful than a large one with stale preferences.
