What does an AI receptionist really cost a salon?

A €249 subscription does not yet tell a salon the cost of a completed booking. Compare providers using the same customer and appointment volume.

Put four costs on one sheet

Start with the fixed fee per business or location. Then ask whether extra staff, numbers, conversations or messages are billed separately. For WhatsApp, the platform fee and Meta message charges may be separate.

Include the payment provider if you request deposits. A deposit paid into the salon's own Mollie or Stripe account can still incur transaction fees. Ask who pays them and how refunds work.

Calculate per appointment

Use a sample month: 300 conversations, 180 completed bookings and 40 deposits. Add subscription, messaging and payment costs for each provider. That reveals how a low entry price behaves in real use.

Add the work your team must still do. Does someone check every chat, update the calendar manually or trace payment status? Staff time is not a line on the vendor invoice, but it is a cost.

Read the terms

Ask what normal use includes, how excess use is handled and whether a trial becomes a paid subscription automatically. Note the cancellation terms and how you can export clients and appointments.

BarbrFlow's public product page currently states €249 per month per business excluding VAT and a 14-day trial without a payment card. Check current terms before deciding; prices and message rates can change.
