How a WhatsApp receptionist really locks in an appointment
“A cut tomorrow after four” is clear to a person and a puzzle to software. This is how BarbrFlow turns that sentence into a confirmed appointment in the barber's real diary, with a deposit in their own account.
From an offhand message to concrete options
The receptionist reads the message in the language the customer writes in and translates it into what the diary needs: which service, how long it takes, which staff member can do it, and from when. “After four” becomes a search window; “cut and beard” become two services in a row with the right total duration.
Before anything is offered, BarbrFlow checks the service duration, the working hours, the existing appointments and whether the right staff member is available. Breaks, skills and occupancy are already taken into account. The customer therefore does not get a list of times that “might” fit, but two or three that really are free.
Reserve, pay, confirm
When the customer picks a time, that slot is held in the diary and the customer receives a payment link for the deposit. It runs through the business's own Mollie or Stripe account, with iDEAL: the money goes straight to the barber, not to us.
Only after payment is the appointment definitively locked in, and both customer and owner get a confirmation. If there is no payment, the slot frees up again after a while, so a reserved-but-unpaid chair does not block the diary.
An appointment is only an appointment once it is in the real diary and the deposit has arrived.
What can still happen afterwards
- Reminders: 24 hours and 2 hours before the appointment, with date, time, service and staff member all in one place.
- Rescheduling or cancelling: the receptionist looks up the appointment and applies the rules the business has set, for example, how many hours in advance a cancellation is still free.
- A freed-up chair: when someone cancels, BarbrFlow searches the waiting list for customers that exact service, staff member and time slot suits, and sends them a specific offer. The slot is only definitively filled after confirmation and a fresh check of the diary.
- Groups: three friends with different services in one conversation. The receptionist asks targeted follow-up questions and remembers what has already been said.
And if the receptionist does not know?
Then she hands the conversation over to the owner neatly and the owner gets a heads-up. The owner can view every conversation, pause the receptionist and reply personally. That way the business always stays in charge of what is said in its name.
