When should an AI receptionist hand over to a person?
A client mentions an allergy while requesting a treatment. A receptionist can check the calendar, but should not invent a medical or treatment decision.
Set boundaries in advance
List topics for staff takeover: complaints, unclear prices, custom work, safety questions or anything outside the configured rules. The boundary belongs to the business, not to chatbot improvisation.
Tell the client honestly that the question has been passed on and someone will follow up. Do not promise a treatment, price or slot that has not been confirmed.
Pass on useful context
Staff need more than “customer needs help”. Show the conversation, requested service, proposed time and what the system checked. The client should not need to repeat everything.
Make ownership of the conversation visible. Once a person replies, the AI should not simultaneously send another offer. Agree when automation can resume.
Rehearse a real exception
Test a routine booking, an upset customer and an unknown service. Check that staff get a notification, can open the chat and can continue without duplicate messages.
